Privacy Policy

How Air Synergy collects, uses, shares, and protects your personal information.

We respect your privacy. This policy explains, in plain language and in full, what we collect, why, and the choices and rights you have — including your rights under California law.

  • We collect the details you give us when you contact us or request service — such as your name, phone, email, and service address — plus standard technical and usage data from your visit.
  • We use your information to respond to you, schedule and perform service, send updates you ask for, run our business, and improve our website.
  • We do not sell your personal information for money, and we share it only with the vendors and partners who help us operate.
  • If you opt in to text messages, you can reply STOP to cancel at any time. Message and data rates may apply, and we never share your mobile opt-in for others’ marketing.
  • California residents can request to know, delete, or correct their information and opt out of any “sharing” for cross-context advertising.
  • We honor Global Privacy Control (GPC) browser signals as a valid request to opt out of sale/sharing.

1. Introduction

Air Synergy (“Air Synergy,” “we,” “us,” or “our”) respects your privacy and is committed to being transparent about how we handle your personal information. This Privacy Policy applies to information we collect through our website at airsynergy.com (the “Site”), by phone, text, email, and in the course of providing our heating, cooling, water-heating, indoor-air-quality, and related home-comfort services (collectively, the “Services”).

By using the Site or contacting us, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with it, please do not use the Site or submit information to us.

2. Who We Are

Air Synergy is a family-owned HVAC and water-heating company serving homeowners throughout the San Francisco Bay Area. For purposes of this Policy and applicable privacy laws, we are the “business” and the controller responsible for your personal information. You can reach us using the details in the “How to Contact Us” section below.

Operating name: Air Synergy. BBB listings reference Air Synergy, Inc.; for privacy notices we use the operating name above unless counsel updates the registered entity form.

3. Information We Collect

The types of personal information we collect depend on how you interact with us. We may collect:

Information you provide to us

  • Identifiers and contact information — name, postal/service address, email address, and phone number you provide when you request service or an estimate, call or text us, fill out a form, leave a review, or apply for a job.
  • Service and property details — information about your home, existing equipment, comfort issues, and the work you’re considering, so we can give accurate recommendations and quotes.
  • Communications — the content of your messages, call notes, chat transcripts, photos, and any feedback or reviews you share with us.
  • Financing and payment-related information — if you apply for financing, that application is submitted to and processed by our third-party lending partners. We receive limited information such as approval status; we do not collect or store full payment-card or bank-account numbers on this Site.
  • Employment information — if you apply for a position, the details in your application or résumé.

Information collected automatically

  • Device and usage data — IP address, browser and device type, operating system, referring/exit pages, the pages you view, and the dates/times of your visits, collected through cookies and similar technologies (see Section 8).
  • Approximate location — a general area (such as city/region) derived from your IP address. We do not collect precise GPS location from this Site.

Call and message records

When you call or text us — or we call or text you — we keep records of those communications for scheduling, quality assurance, training, and recordkeeping. Where calls are monitored or recorded, we will provide any notice required by California’s two-party-consent law at the start of the call.

Sensitive personal information

We do not seek to collect “sensitive personal information” (such as government ID numbers, financial-account login credentials, precise geolocation, or health information) through the Site. If you choose to send us such information, please do so only as necessary.

4. Where We Get Your Information

  • Directly from you (forms, calls, texts, emails, chats, in-home visits).
  • Automatically from your device when you use the Site (cookies and analytics).
  • From service providers and partners who help us operate — for example, scheduling and CRM tools, call-tracking and chat providers, advertising and analytics partners, and third-party financing lenders.
  • From lead-generation or referral sources and publicly available sources, where permitted.

5. How We Use Your Information

We use the information we collect for the following business purposes:

  • Respond to your inquiries, schedule appointments, and provide estimates and Services.
  • Communicate with you about appointments, service history, follow-ups, invoices, and — where you’ve opted in — promotions and offers.
  • Process and follow up on financing applications through our lending partners.
  • Operate, maintain, secure, debug, and improve the Site and our Services.
  • Measure the effectiveness of our website, content, and advertising.
  • Evaluate job applications and staffing needs.
  • Detect, prevent, and address fraud, security incidents, and prohibited or illegal activity.
  • Comply with our legal obligations and enforce our agreements and policies.

We will not use your personal information for materially different, unrelated, or incompatible purposes without providing you notice.

6. How We Share Your Information

We share personal information only as described below, and only as needed for the purpose involved:

  • Service providers / processors — vendors that perform functions on our behalf, such as website hosting, CRM and scheduling, call-tracking and chat, email/SMS delivery, payment processing, and analytics. They are permitted to use your information only to provide services to us.
  • Financing partners — if you apply for financing, the lender(s) you apply with, who handle your application under their own privacy policies.
  • Advertising and analytics partners — providers that help us understand and improve our marketing (see Sections 8–9). Depending on settings, this may involve cookie-based identifiers.
  • Legal and safety — courts, regulators, or law enforcement when required by law, subpoena, or legal process, or to protect our rights, property, or safety, or that of others.
  • Business transfers — a successor or acquirer in connection with a merger, financing, acquisition, or sale of assets, subject to this Policy.
  • With your direction or consent — when you ask us to share your information or otherwise consent.

We do not share your information with unrelated third parties for their own independent marketing without your consent.

7. Sale or Sharing of Personal Information

We do not sell your personal information for money. Under California law, however, the terms “sell” and “share” are defined broadly. “Sharing” includes disclosing personal information to advertising partners for “cross-context behavioral advertising” (targeted ads based on your activity across sites), even when no money changes hands.

To the extent our use of third-party analytics or advertising cookies (for example, Google or Meta technologies described in Section 9) is considered a “sale” or “share” under California’s CCPA/CPRA, you have the right to opt out. You can do so by:

  • Enabling a Global Privacy Control (GPC) signal in your browser, which we treat as a valid opt-out of sale/sharing for that browser (see Section 17);
  • Adjusting cookie controls or your browser settings to limit tracking; and
  • Contacting us using the details in Section 20 to request that we opt you out of sale/sharing.

We have not “sold” or “shared” the personal information of consumers we know to be under 16 years of age.

8. Cookies & Tracking Technologies

We and our partners use cookies, pixels, tags, and similar technologies to operate the Site, remember your preferences, understand how the Site is used, and support marketing. Common categories include:

  • Strictly necessary — required for the Site to function (e.g., security and load balancing).
  • Performance / analytics — help us understand traffic and improve the Site.
  • Functional — remember your choices and improve your experience.
  • Advertising — measure and (where applicable) tailor our advertising.

Analytics and advertising storage are controlled by Google Consent Mode v2. Visitors in the EEA, United Kingdom, and Switzerland start with analytics/ad storage denied until they opt in via our cookie banner; visitors elsewhere (including the United States) start with those signals granted under an opt-out model. You can Accept or Decline on the banner, reopen Cookie preferences from the footer, or enable Global Privacy Control (GPC). See Your Privacy Choices.

You can also control cookies through your browser settings. Disabling some cookies may affect Site functionality. We honor browser-based opt-out signals as described in Section 18.

9. Analytics & Advertising

When analytics or advertising storage is allowed, we may use Google Tag Manager (GTM) and Google Analytics 4 (GA4) to measure Site traffic and campaign performance. Advertising tags loaded through GTM (when configured) may support measurement and, where permitted, advertising personalization. These providers may set cookies and collect usage data subject to their own privacy policies.

Until a CIWG-managed GTM/GA4 container ID is configured, Consent Mode still initializes but GTM/GA4 loaders remain inactive on this Site. We do not load third-party advertising pixels by default.

10. Text Messaging (SMS) Program

Air Synergy does not currently offer a text-messaging (SMS) program for appointment reminders or marketing. Phone and email remain the primary ways we contact you. If we introduce SMS later, we will update this Policy and collect a separate opt-in before sending texts.

11. Your Privacy Choices

Your California Privacy Rights — Do Not Sell or Share My Personal Information

If you are a California resident, the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA) gives you specific rights regarding your personal information. This Site is operated for a United States business address in California; privacy rights described here follow U.S. state frameworks (including California CPRA) only.

Categories of personal information we may collect (in the last 12 months), naming tools actually in use or configured for this Site:

  • Identifiers and contact data (name, email, phone, service address) you submit on lead, estimate, service, referrals, or careers forms.
  • Internet / electronic activity via Google Tag Manager / Google Analytics 4 (pages viewed, device/browser signals) when analytics storage is allowed.
  • Advertising identifiers and related signals via Google advertising tags loaded through GTM when ad storage is allowed and those tags are configured.
  • Inferences drawn from service-request content (e.g., type of HVAC or water-heating issue) to fulfill your request.
  • Financing-related identifiers processed by our third-party lenders when you apply for financing (we do not store full payment-card numbers on this Site — see Payment Security).
  • Professional/employment information if you apply for a job via our careers form.

Sale / sharing disclosure: We do not sell personal information for monetary consideration. We may “share” personal information for cross-context behavioral advertising through Google advertising tags when ad storage is allowed. You have the right to opt out of that sale/sharing.

Your rights

  • Right to know / access — request the categories and specific pieces of personal information we’ve collected about you, the sources, our purposes, and the categories of recipients.
  • Right to delete — request that we delete personal information we collected from you, subject to legal exceptions.
  • Right to correct — request that we correct inaccurate personal information.
  • Right to opt out of sale/sharing — direct us not to sell or “share” your personal information for cross-context behavioral advertising (see Section 7).
  • Right to limit use of sensitive personal information — to the extent we process any sensitive personal information for non-exempt purposes (we generally do not).
  • Right to non-discrimination — we will not deny you Services, charge different prices, or provide a different level of quality because you exercised your rights.

How to opt out / exercise your rights

  • Use the on-site cookie banner (Accept / Decline) or reopen it via Cookie preferences in the footer.
  • Enable Global Privacy Control (GPC) in a supporting browser — we treat a GPC signal as a do-not-sell/share request for advertising storage.

“Shine the Light” (California Civil Code § 1798.83)

California residents may request information about our disclosure of personal information to third parties for those third parties’ direct-marketing purposes. We do not disclose personal information to third parties for their own direct marketing.

12. Other U.S. State Privacy Rights

We currently serve customers in California. If you reside in another U.S. state that grants comprehensive privacy rights (such as the rights to access, correct, delete, or opt out of targeted advertising or sale), you may have similar rights. To make a request, contact us using the details in Section 20, and we will honor applicable rights based on your state of residence.

13. Children’s Privacy

Our Site and Services are intended for adults and are not directed to children. Consistent with the Children’s Online Privacy Protection Act (COPPA), we do not knowingly collect personal information from children under 13, and we do not knowingly sell or share the personal information of consumers under 16. If you believe a child has provided us personal information, please contact us and we will delete it.

14. How Long We Keep Your Information

We retain personal information for as long as needed to fulfill the purposes described in this Policy — including providing Services, maintaining service and warranty records, resolving disputes, and meeting our legal, tax, accounting, and recordkeeping obligations — after which we delete or de-identify it. Retention periods vary based on the type of information and the purpose for which it was collected.

15. How We Protect Your Information

We use reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, alteration, and disclosure. However, no method of transmission over the Internet or method of electronic storage is completely secure, so we cannot guarantee absolute security. Please use care when sharing information online.

16. Payment Security

We do not collect, store, or process raw payment-card numbers (PAN), CVV codes, or full bank-account numbers on airsynergy.com pages. When you pay an invoice or apply for financing, card or banking data is entered on the payment processor’s or lender’s hosted checkout, iframe, or redirect under that provider’s PCI DSS responsibilities. 18. Do Not Track & Global Privacy Control

Some browsers offer a “Do Not Track” (DNT) setting. Because there is no common industry standard for how to respond to DNT signals, we do not currently respond to them. We do, however, recognize the Global Privacy Control (GPC) signal: where your browser or extension sends a GPC signal, we treat it as a valid request to opt the associated browser out of the sale or sharing of personal information.

19. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page, and material changes may be communicated through the Site. Your continued use of the Site after an update takes effect means you accept the revised Policy. We encourage you to review this page periodically.
